Job purpose
The Executive Director is responsible for the successful leadership and management of the organization according to the strategic direction set by the Board of Directors.
Primary duties and responsibilities
The Executive Director will undertake the following responsibilities:
Leadership:
Participate with the Board of Directors in developing a compelling vision and strategic plan to guide the organization.
Proactively identify, assess, and inform the Board of Directors of internal and external material concerns and/or opportunities that may affect the organization.
Act as a professional advisor to the Board of Directors on all aspects of the organization's activities.
In addition to the Chair of the Board, act as a key spokesperson for the organization.
Conduct official correspondence on behalf of the Board as appropriate and jointly with the Board when necessary.
Represent the organization at business functions and community events to enhance CIBA's profile and build strategic relationships.
Operational planning and management:
Develop and implement an annual operational plan with clear goals, objectives, and measurable targets that align with the strategic direction of the organization.
Ensure that the organization's operations consistently meet the expectations of its clients, Board, and Funders.
Take a hands-on approach to ensure the efficient and effective day-to-day operations of the organization.
Draft organizational policies for the approval of the Board and develop procedures to effectively implement these policies; review existing policies annually and recommend necessary changes to the Board.
Ensure that personnel, client, and volunteer files are securely stored, maintaining privacy and confidentiality following relevant legislation and best practices.
Provide comprehensive support to the Board by preparing detailed meeting agendas and relevant supporting materials.
Program planning and management:
Ensure timely and accurate completion of all reporting requirements for funders as outlined in funding agreements.
Directly develop and manage the planning, implementation, and evaluation of the organization's entrepreneurial programs and services.
Ensure that all programs and services directly contribute to the organization's mission and reflect the strategic priorities set by the Board.
Monitor the daily delivery of programs and services to maintain and continuously improve quality and impact.
Lead the planning, implementation, execution, and evaluation of special projects that further CIBA's goals.
Provide and/or facilitate high-quality mentorship and training for clients, including entrepreneurs, small businesses, nonprofits, and other organizations. This includes utilizing existing organizational tools and curriculum, and supporting the development or adoption of new curriculum as needed.
Human resources planning and management:
Determine current and future staffing/contractor requirements for effective organizational management and program delivery.
Establish and maintain a positive, healthy, and safe work environment that complies with all relevant legislation and regulations.
Recruit, interview, and select highly qualified contractors who possess the necessary technical and personal abilities to advance the organization's mission.
Financial planning and management:
Collaborate effectively with the bookkeeper on all financial matters.
Work closely with the Board to develop a comprehensive annual budget that aligns with the organization's strategic goals and monitor budget performance regularly.
Actively research potential funding opportunities and lead the development and submission of high-quality funding proposals.
Ensure compliance with all relevant financial legislation and regulations covering taxation and reporting requirements.
Approve expenditures within the limits of the approved budget.
Community relations and fundraising:
Communicate proactively and effectively with all stakeholders to keep them informed about CIBA's work and to identify evolving needs within the community served.
Establish and nurture strong working relationships and collaborative arrangements with community groups, funders, politicians, and other relevant organizations to help achieve CIBA's strategic goals.
Risk management:
Identify and thoroughly evaluate potential risks to the organization's people (clients, staff, management, volunteers), property, finances, goodwill, and public image.
Implement effective measures and strategies to control and mitigate identified risks.
Ensure that the Board of Directors and the organization maintain appropriate and adequate insurance coverage.
Ensure that the Board and staff fully understand the terms, conditions, and limitations of the organization's insurance coverage.
Qualifications
Education: University or College degree in a relevant field.
Experience: Five or more years of progressive leadership experience with demonstrated growth in a business or organization. Candidates should be prepared to highlight quantifiable achievements in their application.
Knowledge, skills, and abilities
Thorough knowledge of leadership and management principles.
Comprehensive knowledge of human resources management practices.
Strong knowledge of financial management principles and practices.
Solid knowledge of project management methodologies.
High proficiency in the use of technology, including AI tools (e.g., frontier models like ChatGPT, Gemini, Claude) and other business productivity platforms. Proficiency in specific software relevant to the role (e.g., CRM systems, project management tools) is an asset.
